Privacy notice

Last updated: 18 October 2026

In short: when you ring a business that uses our AI receptionist, we record what you tell us (your name, number, address and the problem) so that the business can call you back and do the job. We don't sell your data or use it for advertising.

Who we are

Everline AI Receptionist is a service run by Everline Supply Ltd, a company registered in England and Wales (company no. 16533656), registered office 5 Deane Close, Bristol, BS16 1XN. We are registered with the Information Commissioner's Office (ICO), registration number ZC002945.

Contact us about privacy at admin@everlinesupply.com.

Our two roles

1. Callers to our customers' businesses. Our customers are plumbing and heating businesses. When you ring one of them and the call is answered by our AI receptionist, that business is the data controller for your information, and Everline Supply Ltd acts as its data processor. That means we handle your information on the business's behalf and on its instructions. For questions about how a business uses your details, you can contact that business directly, or contact us and we'll pass your request on.

2. Our own customers and website visitors. If you are a tradesperson who contacts us, takes a trial or becomes a customer, Everline Supply Ltd is the data controller for your information.

Information we collect from callers

Why we use it, and our lawful basis

We use callers' information to pass the job details to the tradesperson you rang, so that they can call you back, arrange a visit and carry out the work. Call recordings and transcripts are kept so the business can check details and so we can fix mistakes and keep the service working properly.

The lawful basis is legitimate interests: yours, in getting your problem dealt with, and the business's, in responding to enquiries. Where you are arranging work, it is also necessary to take steps at your request before entering into a contract.

For our own customers, we use your details to provide the service, bill you and contact you about your account (lawful basis: contract), and to reply to enquiries (lawful basis: legitimate interests).

Who we share it with

We share callers' details with the business you rang. To run the service we also use the following providers, who process data on our behalf under contract:

ProviderWhat they doLocation
VapiVoice AI platform that runs the callUSA
TwilioPhone numbers, calls and text messagesUSA
OpenAILanguage model that understands the conversationUSA
ElevenLabsGenerates the assistant's voiceUSA
SonioxConverts speech to textUSA

We don't sell personal data, and we don't use it for advertising.

International transfers

Some of these providers process data outside the UK, mainly in the United States. Where this happens, we rely on appropriate safeguards recognised under UK data protection law, such as the UK Extension to the EU-US Data Privacy Framework or the UK International Data Transfer Addendum to standard contractual clauses.

How long we keep it

We keep call recordings and transcripts for up to 30 days, then delete them. Job details sent to the business become part of that business's own records, which it keeps in line with its own policies. We keep our own customers' account and billing records for as long as needed for accounting and legal purposes (usually 6 years).

Your rights

Under UK data protection law you have the right to:

To use any of these rights, email admin@everlinesupply.com. If your request is about a call to one of our customers, we'll work with that business to respond.

If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office: ico.org.uk, telephone 0303 123 1113.

Our AI receptionist pages don't use any tracking or advertising cookies. The wider everlinesupply.com shop may use cookies for its own purposes; see the shop's own policies for details.
